    We are seeking a highly professional, detail-oriented, and proactive Assistant Manager / (Secretarial Assistant) to support the Country Head (Vice President 2). This role is critical in enabling executive efficiency through seamless coordination of administrative, governance, and operational activities.

    The incumbent will act as a trusted partner to senior leadership, ensuring effective calendar management, stakeholder coordination, and delivery of high-quality business outputs including reports, presentations, and governance documentation. The role requires strong business acumen, absolute confidentiality, and the ability to manage multiple priorities within a fast-paced, high-performance environment.

    Executive & Administrative Support

    • Manage complex calendars across multiple time zones, ensuring optimal scheduling and prioritisation
    • Arrange and coordinate all internal and external meetings (including executive forums, governance sessions, and leadership reviews)
    • Take accurate minutes of meetings and maintain structured action logs with follow-ups

    Governance & Reporting

    • Coordinate governance cadences, including leadership meetings, business reviews, and strategic sessions
    • Compile, consolidate, and maintain business reports aligned to South Africa geography and broader organisational requirements
    • Develop professional PowerPoint presentations, leadership decks, and executive summaries
    • Assist in building reports using AI-enabled tools to enhance productivity and output quality

    Travel & Expense Management

    • Manage local and international travel arrangements, ensuring cost efficiency and compliance
    • Prepare and submit expense reports accurately and within required timelines

    Stakeholder & Communication Management

    • Coordinate communication flows, announcements, and key updates
    • Support stakeholder engagement through follow-ups, reporting, and administrative coordination

    Operational & Compliance Support

    • Manage internal digital filing and maintain structured document storage and retrieval systems
    • Prepare reports, correspondence, and business documentation

    Skills (Technical & Functional Competencies)

    • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
    • Experience with office management tools and project management platforms
    • Ability to leverage AI tools for Minutes of meetings, Report creation, Presentation development
    • Strong understanding of governance processes and business operations
    • Ability to create structured action logs and track deliverables
    • Strong analytical and problem-solving skills
