Key Responsibilities People Logistics (not People Strategy) ● Manage the mechanics of recruiting: job postings, applicant tracking, interview scheduling, and candidate communications (confirmations, feedback, rejections). ● Run reference checks, issue offer letters, and coordinate hiring logistics. ● Own onboarding execution: ensure new hires have accounts, documentation, and training invites by Day 2; track all onboarding tasks to completion within two weeks. ● Manage offboarding checklists and documentation when employees exit. Internal Process Compliance (not Client Work) ● Track and enforce compliance for internal processes (SOP updates, Asana task management, onboarding checklists). ● Conduct quarterly SOP and Google Drive audits; escalate non-compliance to Ops leadership. ● Prepare agendas, notes, and follow-ups for Ops/Leadership meetings; chase overdue action items until closed. ● Distribute the weekly Ops digest and track assigned follow-ups to completion

System Execution (not System Design) ● Support the rollout of new workflows, tools, or process improvements by handling logistics, communication, and adoption tracking. ● Monitor tool usage (Asana, Harvest, Slack) and follow up with team members to ensure compliance. ● Act as the first line of enforcement for the Director of Operations — escalating to them only when issues persist. Success Looks Like ● All recruiting logistics handled within 24 hours of request. ● 100% of new hires fully onboarded (accounts, docs, training invites) by Day 2. ● Quarterly SOP and Drive audits show ≥95% compliance. ● Weekly Ops digest sent on time, with ≥90% follow-up completion. ● Ops Director freed from tactical admin and focused on system design, resourcing, and forecasting. Requirements ● 2–5 years of experience in operations, coordination, or HR/recruiting support. ● Strong organizational and time management skills; relentless about follow-through. ● Confident chasing people for deadlines and enforcing compliance without drama. ● Proven ability to juggle multiple priorities across time zones. ● Tools: Google Workspace, Slack, Zoom, Asana; familiarity with ATS systems is a plus.
